Transparency & Data Use Policy (All Users)

This policy governs how user-submitted records-including those submitted by buyers, sellers, or other platform participants-are collected, used, scored, attributed, and retained as part of PetPay's transparency-based adoption process.

It forms part of our broader Privacy Policy and is supported by the Terms of Use, Section 8: Content & License. PetPay, Inc. is committed to transparent and ethical adoption practices that empower buyers, sellers, and promote accountability.

By submitting records in any form, I confirm that I have the right and authority to share such data, including but not limited to animal-related records, transaction history, or health documentation. All data provided-whether historical or newly submitted-may be made available to prospective customers and platform users to support informed decisions, promote responsible placements, and reduce risks. This includes the use of such data in analytics and scoring models designed to inform and empower consumers.

I understand and agree that the data I submit may be reviewed, analyzed, scored, aggregated, attributed, and displayed by PetPay, Inc., including its affiliated services as defined in our Privacy Policy. This includes attribution to my account, my business, specific animals, litters, parentage, or transactions. Submitted information may be visible to platform users and retained indefinitely, including after account inactivity or termination.

The types of user-submitted records governed by this policy include, but are not limited to: veterinary reports, vaccination and deworming records, microchip identification numbers, DNA test results, nutrition and feeding information, and post-sale updates. These records may be used to:

  • Help prospective users make informed decisions
  • Link information to specific users, sellers, buyers, animals, litters, or transactions
  • Display health timelines, condition tags, or transparency metrics to platform users
  • Support trends and insights by user, breed, seller, region, or condition type
  • Categorize and score data (e.g., condition rates, completeness, timing)
  • Retain data for outcome tracking, dispute resolution, or platform reliability scoring
  • Enhance platform tools such as matching, alerts, or vet-readiness guidance

This policy also covers communications submitted through or facilitated by the platform or the platforms affiliated services, including buyer/seller messages, call recordings, text messages, and post-sale updates. These communications may be retained, analyzed, scored, or attributed to assess transparency, detect patterns of noncompliance, or assist in dispute resolution. Users are responsible for ensuring the accuracy and appropriateness of any communications shared.

As governed by Section 8 of our Terms of Use, I grant PetPay, Inc., including its subsidiaries and affiliates, a perpetual, worldwide, non-exclusive, royalty-free, irrevocable license to store, use, reproduce, analyze, score, aggregate, and display submitted data. This includes user-attributed or anonymized formats, user-facing reports, downloadable content, transparency metrics, and profile-based or analytical displays. This license survives any termination of platform use.

Please note: Some affiliated services may operate under independent ownership, licensing agreements, or branding, and PetPay, Inc. assumes no responsibility or liability for how such affiliated services or licensees use submitted data. By submitting records, you authorize their use across affiliated services, including for research, scoring, modeling, and transparency-related objectives, in accordance with shared compliance and privacy frameworks.

All data submitted through your PetPay account, including both historical and future records, is subject to this policy. Continued use of the platform affirms your ongoing agreement to these terms, including their application to all prior and future submissions.

PetPay, Inc., including its subsidiaries and affiliates, does not guarantee deletion of previously submitted data and reserves the right to retain and use such data indefinitely, even after account closure or departure, in accordance with platform policies.

PetPay, Inc., including its subsidiaries and affiliates, reserves the right-but not the obligation-to audit or verify submitted data for accuracy or compliance with platform terms. I acknowledge that I am solely responsible for the accuracy and authenticity of all data I provide and understand that submitted information may be visible to platform users as part of PetPay's transparency standards.

Data Deletion & Retention (Summary from Privacy Policy)

This section reflects our data deletion and retention practices as described in the full Privacy Policy. It is presented here for visibility and clarity but remains subject to the full terms and scope outlined in that governing policy.

You may request deletion of personally identifiable information (PII) at any time by contacting support@petpay.com. We will review such requests and delete data where legally permitted and technically feasible, in accordance with applicable data protection laws.

However, to preserve platform integrity, transparency, and regulatory auditability:

  • Factual records submitted prior to deletion may be retained in anonymized or aggregate form
  • Non-PII data may be retained for legal, compliance, audit, or fraud prevention purposes
  • Records embedded in transaction history or tied to buyer protections may not be deleted
  • Buyer–seller communications (e.g., messages, calls, or emails) may be retained for dispute resolution or verification
  • Health and veterinary submissions may be retained to support transparency, trend analysis, or internal scoring models
  • Audit logs and system access records may be retained for platform security and operational analysis
  • Any platform user facing record, document, report, health indicator, score, or transparency metric derived from previously submitted data may be retained
  • Compliance related submissions (e.g., ID verification or breeder credentials) may be retained to meet regulatory obligations
  • Historical listings and transaction snapshots may be preserved to validate claims or support future transparency initiatives
  • Payment and payout records may be retained for accounting, tax, audit, or fraud monitoring purposes
  • User activity and behavioral logs may be used to improve platform functionality, performance, and modeling

We retain information as long as necessary to provide services, support consumer protections, resolve disputes, enforce agreements, and comply with our legal obligations.

  • Click the Send Request button on the Settings & Privacy > Settings > Apps and Websites page.
